Zoho Projects Pricing: Features, Costs, and Top Project Management System Alternatives

Zoho Projects is a cloud-based project management solution that helps teams track both simple and complex projects. It includes several collaboration features, a built-in Gantt chart, a time-tracking tool and a gamification feature called Gamescope. 

We’ve reviewed Zoho Projects and compared it to other solutions in terms of features and other attributes. However, this post will focus on its pricing plans and the prices of its alternatives. 

How Much is Zoho Projects? 

Zoho Projects has a free plan and four paid plans.  

Free plan – The free plan covers a single project and is intended for up to five users. There is 10 MB of storage space. The plan covers basic features of Zoho Projects, including: 

• Project Pages and Project Chat features for a single project 
• Read-only access to Gantt charts for a single project 
• Project Feeds 
• Task management 
• File sharing 
• Calendar and forums access 
• Data importing from Microsoft Projects 
• Integration to Google Apps, Zapier and Zoho CRM 

Standard – The Standard plan costs $25 a month ($20 a month, if billed annually). Users can track up to 10 projects a year. The plan covers up to 15 users and 5 GB of storage space. In addition to the features in the free plan, the Standard plan includes: 

• Ability to create up to five project templates 
• Read-only access to Gantt charts for all projects 
• Advanced task and issue reports 
• Project timeline tracking with Gantt charts 
• Data syncing with Google Tasks 
• Game scope 
• Time-tracking tools 
• Basic features with the IssueTracker module, such as importing issues from email, Jira, and XLS and CSV files 
• Integration to Zoho Meeting, Zoho Books and Zoho Invoice 

Express – The Express plan costs $50 a month ($40 a month, if billed annually). It supports up to 25 users, unlimited projects and 20 GB of storage space. If a company wants to use the Express plan and has more than 25 users, the additional cost will be $3 per user, per month. 

The Express plan includes additional features such as: 

• Ability to create up to 10 project templates 
• Project Pages and Project Chat features for all projects 
• Budget and expense 
• Ability to export projects 
• Ability to approve timesheets 
• Custom views of tasks and issues 
• Adding and tracking subtasks 
• Ability to set recurrences and reminders 
• Notifications within IssueTracker module 

Premium – The Premium plan costs $100 a month ($85 a month, if billed annually). Like the Express plan, it supports up to 25 users and an unlimited number of projects. Users can store up to 100 GB of files. If a company wants to use the Premium plan and has more than 25 users, the additional cost will be $4 per user, per month. 

The Premium plan includes additional features such as: 

• Ability to create up to 20 project templates 
• Resource utilization chart within a single project 
• Ability to edit Gantt charts within a project 
• Tracking actual versus planned work hours, business hours, and task duration of hours or days 
• Ability to set strict project requirements 
• Ability to skip weekends and holidays in the setting project or task deadlines 
• Additional features of IssueTracker, such as business rules within an issue, web to issue form, and linking issues together 
• Integration to Zoho Desk, Zoho People, Zoho Reports, Dropbox, GitHub, BitBucket and Crashlytics 

Enterprise – The Enterprise plan costs $150 a month ($125 a month, if billed annually). It supports up to 25 users so any company that has more than 25 users will be billed an additional $5 per user, per month. It supports up to 120 GB of storage space. 

The Enterprise plan includes additional features such as: 

• Ability to create up to 30 project templates 
• Resource utilization chart within all projects 
• Ability to edit Gantt charts within all projects 
• Custom fields and custom domain 
• Advanced capabilities of IssueTracker, including SLA, custom fields, email settings, webhooks, and customs issue email templates 

Users can participate in a 15-day free trial for any of the paid plans. These plans are pay as you go, meaning there’s no contracts and users can upgrade, downgrade or cancel their plans at any time.

Zoho Projects has five subscription plans that can scale up or down based on a company’s needs. For businesses that want to compare pricing between different vendors, we’ve come up with three alternative solutions with similar subscription plans. 

Asana –  Asana offers a free plan for teams with up to 15 users. It has basic dashboards and basic search functionality, as well as unlimited tasks, projects and conversations.  There are also two paid plans: Premium and Enterprise. The Premium plan is $9.99 per user, per month (billed annually) and includes several features, such as an unlimited number of dashboards, advanced search and reporting, task dependencies and priority support.   

The Enterprise plan is intended for larger teams and includes additional features, such as customized onboarding plans, advanced security features and custom branding. Pricing isn’t publicly available, so you’ll have to contact Asana for a quote.   

Smartsheet – Smartsheet has four pricing plans. First, there is the Individual plan that costs $14 per user, per month. It includes Gantt charts, attachments, reminders and notifications, forms and email support. It also integrates to cloud productivity apps. 

Second, there is the Team plan that costs $15 per user, per month (billed annually). It requires a minimum of three users and includes up to 50 sheets per user, unlimited reports, user management groups, resource management, and custom colors and logos. Then there’s the Business plan, which costs $25 per user, per month (billed annually). It also requires a minimum of three users and includes up to 100 sheets per user, automated actions, activity logs and live data connector. 

Finally, there’s the Enterprise plan that offers additional features, such as phone support, single sign-on functionality and enterprise access control. Prices are not publicly available, so you’ll have to contact Smartsheet directly for a quote. 

Trello – Trello has a freemium model that includes features like the unlimited number of boards, lists, and members; attaching files of up to 10 MB, and integrating with one app (via Power-Ups) per board. There are three paid options: Trello Gold, Trello Business Class, and Trello Enterprise.  

Trello Gold costs $5 per month (or $45 per year). It includes advanced features, such as three Power-Ups per board, customized backgrounds, premium stickers, 250 MB attachments and saved searches. Trello Business Class, intended for companies, is priced at $9.99 per user, per month (if paid annually). It includes some business-oriented features, such as unlimited app integration, custom branding and exporting team data.  

Trello Enterprise provides tiered plans that can vary based on the number of users. For specific pricing, you’ll need to contact Trello directly for a quote. In addition to features on the Business Class plan, the Enterprise plan includes single sign-on access and additional security features, such as two-factor authentication, file encryption, and intrusion detection.  

Takeaways 

Zoho Project’s Express, Premium and Enterprise plans allow companies to pay a flat monthly fee for up to 25 users. However, there’s an additional per-user cost if more than 25 users will access Zoho Projects. The alternative vendors deploy a per-user, per-month pricing strategy that doesn’t have a maximum threshold for the number of users. 

We also want to note that Zoho Project’s free plan only accommodates up to five users, while Asana’s free plan covers up to 15 users. Trello’s free plan doesn’t have any limits on the number of users. While Smartsheet doesn’t have a free plan, it does offer a 30-day free trial.  Smartsheet users can also collaborate with an unlimited number of other users for free, regardless of plan selected.
